This role supports the Director by managing administrative functions, coordinating operations, and ensuring the smooth running of daily activities. The ideal candidate will handle a combination of executive support and administrative management, requiring strong attention to detail, confidentiality, and effective prioritization.
Key Responsibilities
• Provide full administrative and operational support to the Director on all business and client-related matters
• Manage and maintain the Director’s diary, appointments, and meeting schedules
• Handle all correspondence, including confidential communication, with professionalism and discretion
• Coordinate travel arrangements, meetings, and business logistics
• Maintain and update client files, records, and compliance documentation in line with regulatory requirements
• Ensure all documentation is accurately filed, stored, and easily accessible (both physical and electronic systems)
• Compile and submit accurate weekly and monthly reports to management
• Manage data capturing, reporting, and document control with a high level of accuracy
• Ensure all policy documentation is processed, issued, and communicated to clients timeously
• Assist with claims processing, ensuring correct submission and follow-up with service providers
• Liaise with clients, service providers, consultants, and internal stakeholders to resolve queries efficiently
• Provide end-to-end administrative support on client matters (quotations, applications, policy servicing, and claims)
• Ensure all client queries are handled promptly, professionally, and with urgency
Requirements
• Minimum 5 years’ experience in a similar role (PA / Admin Management)
• Fluent in Afrikaans and English (spoken and written)
• Must have own reliable vehicle
• Strong organizational, administrative, and coordination skills
• High level of accuracy and attention to detail
• Ability to work in a fast-paced, high-pressure environment
• Maintain and improve administrative systems, processes, and filing structures
• Oversee general office administration and ensure smooth day-to-day operations
• Provide after-hours support to the Director when required
